Predictive text suggests words while you type; voice typing turns spoken words into text. For work email and chat, choose by the writing task, the room and the amount of correction needed. Windows also offers Voice Access, which has a different offline and control model from Win+H dictation.

A short reply in a shared office and a long draft in a private room are different jobs. Compare the complete message, including corrections, rather than the speed of the first few words.

Use predictive text for short messages you can type quietly

Predictive text may fit a chat reply, a brief status update or an email you write among coworkers. You can keep typing if a suggestion is wrong, or accept a useful phrase and review the completed sentence.

In Typeahead, Tab is the default acceptance key and can be changed. Check that key in your actual app, where Tab may otherwise move focus. A predicted phrase still needs review: it can introduce a date, commitment or meaning you did not intend.

Suggestions are not a fixed script. For an exact signature, approved support paragraph or repeated meeting instruction, a saved text snippet may be more predictable. The guide to autocomplete and autocorrect explains the separate roles of prediction and correction.

Try Win+H for a draft you can speak aloud

  1. Open an empty, unsent draft and place the cursor in its text field.
  2. Check that the intended microphone is connected and internet is available.
  3. Press Win+H to open voice typing and dictate a few sentences.
  4. Stop dictation and inspect names, numbers, punctuation and paragraph breaks before sending.

Speaking can be a comfortable way to get a longer draft down when you have privacy and a usable microphone. It also means the room can hear your words. Win+H uses online speech recognition, so follow your organisation's rules before dictating confidential information.

The microphone and the room matter. If recognition errors make every sentence require substantial correction, try a quieter location or another input method. Do not assume a longer spoken draft is faster to finish.

Use Voice Access when you need offline dictation or voice control

Microsoft describes Voice Access as available in Windows 11 version 22H2 and later. It supports PC control as well as writing. Download the appropriate speech model during setup while online, then test it offline.

This is a separate feature from the Win+H panel. Check the language and commands supported by your Windows installation; the fact that one feature recognises your language does not prove the other has identical support.

If voice control is central to how you use the computer, evaluate navigation, selection and correction as well as dictation. A phrase predictor does not replace those controls.

Compare using three ordinary work messages

Use non-confidential test text: a short scheduling reply, a paragraph describing a task and a message containing a name and a number. Write each message with the methods you are considering.

Measure time until the message is ready to send, including corrections. Note wrong words, accidental acceptances and whether speaking disturbed anyone nearby. A useful result might be predictive text for routine chats and voice typing for longer drafts; you do not need a single method for every field.

Review the final message whichever method you use

Keep the send action separate from drafting. Check recipients, factual details and promises after prediction or dictation. In a shared office, consider what colleagues can hear; on a shared PC, consider who can read the draft and saved text.

Local suggestion processing does not make the receiving email or chat service local. Once you send a message, that service's own data handling applies.
