Illustrated desk with a laptop, a keyboard, a terracotta piggy bank, a stack of coins and a blank desk calendar

TextExpander Pro costs $5 per user per month billed annually, which is $60 a year, or $6 a month billed monthly. Business costs $10 per user per month billed annually, $120 a year, or $12 billed monthly. Those are the US prices before tax on the official pricing page on 12 October 2026. There is also a free plan, limited to 5 active snippets.

Three conditions on the pricing page change the final number.

  • Prices are in US dollars and exclude tax. In countries with VAT or GST, such as the EU, the UK and Australia, the page warns that the base price may include an estimated 20% increase. The checkout, run by Paddle, converts the total to your currency.
  • New accounts get a 30-day preview of paid features. After it ends, the account moves to the free plan, keeps all snippets and leaves 5 of them active.
  • You need an account. One account works on Mac, Windows, iPhone, iPad and the Chrome extension, and snippets sync between them on every plan.

What that adds up to

Totals at October 2026 prices, before tax:

WhoPlan and billing1 year3 years
One personPro, annual$60$180
One personPro, monthly$72$216
Team of 5Pro, annual$300$900
Team of 10Business, annual$1,200$3,600

A team of 10 needs Business, because Pro stops at 5 users.

Is the free plan enough?

For a few snippets, yes. Five active snippets cover a signature, an email address, a postal address, a meeting link and one standard reply. If you need a sixth, you swap one out, and the free plan allows one swap every two weeks.

Once your library grows past that, the free plan stops being practical. The paid plans have no limit on active snippets.

What the subscription buys that one-time tools do not

Before comparing prices, check whether you need what TextExpander charges for. These features have no equivalent in a simple Windows expander:

  • the same snippets on Windows, Mac, iPhone, iPad and Chrome, synced through your account;
  • a shared team library with roles, snippet requests and usage statistics;
  • fill-ins, date maths, nested snippets and JavaScript snippets;
  • snippet recommendations in the Chrome extension, which the pricing page lists under TextExpander AI.

If you work on a Mac and a PC, or a team must use exactly the same wording, those features are what the subscription pays for.

One-time and free options for Windows

If you type on one Windows PC and your snippets are fixed text, you do not have to rent the tool. The case for local, offline tools is made in offline alternatives to TextExpander; this table only compares cost. Prices as of 12 October 2026:

ToolCostWhat you give up compared with TextExpander
Text Replacements$1.99 once, US Microsoft Store list price; 7-day free trialSync, team sharing, fill-ins and other platforms; it inserts fixed text, the current date and time, and emoji
PhraseExpressFree for personal use; $99.95 once for professional use, Standard edition, before taxWork use needs a paid licence, and the editions differ in features
EspansoFree, open sourceA settings window: you edit YAML files; no team library
BeeftextFree, open sourceSync, sharing and future features; the latest release is from December 2022
AutoHotkeyFree, open sourceA settings window: every shortcut is a line of code

Text Replacements works system-wide in Windows desktop apps, keeps snippets on your PC without an account, and stays out of password fields. It runs only on Windows 10 and 11, and it is not a team tool: sharing means exporting your library to a file and having colleagues import it, as the guide to sharing a snippet library describes.

Leaving TextExpander

Do not cancel first. Note the snippets you used in the last two weeks and recreate those in the new tool. Then quit TextExpander, so the same abbreviation is not expanded twice, and keep the account until a week passes without missing anything.

If you want to move the whole library, export what TextExpander lets you export and convert it to a CSV file with one shortcut and one text per line. The guide to moving a snippet library shows the format. Fill-ins and scripts will not survive the move; rewrite those as fixed text or keep them where they are.
