Illustrated law office desk with a laptop, case folders and a fountain pen

These 18 text shortcuts insert the routine parts of law firm correspondence: client acknowledgements, engagement and fee reminders, document requests, scheduling, matter references, email closings and a placeholder for a confidentiality notice. They are drafting aids. The responsible lawyer should approve each template before anyone uses it, and every message still needs a check before it is sent.

Download the legal snippet library

Download all 18 legal snippets (CSV). Each shortcut starts with ;law-. The file uses AfterDelimiter and imports with every snippet disabled, so nothing expands until you have reviewed and enabled it. Subjects are listed in the article and are not part of the CSV.

  1. Export your existing snippet library as a backup.
  2. Import the CSV into Text Replacements for Windows. If a shortcut already exists in your library, the import skips it.
  3. Replace the firm-wide placeholders, such as the portal, signing process, billing contact and closing. Leave client and matter details in brackets.
  4. Send the edited set to the responsible lawyer for approval. Your firm’s communication and risk policies decide the final wording.
  5. Enable one approved snippet. In a blank, unsent draft, type its shortcut, press Space and check the line breaks.

Brackets such as [matter number] are ordinary text. The app does not look up matter data, fill in fields or jump to the next blank, so replace each one by hand. The only automatic value is {date} in the file-note template, which inserts today’s date in your Windows short date format. The date shortcut guide shows other formats.

What the templates leave to the lawyer

The templates cover courtesy and logistics. They do not state the law, assess a claim, describe what an engagement covers or set a deadline. Wherever substance matters, the template has a bracketed field for wording the responsible lawyer has approved.

Enter a date only after checking it through your firm’s calendaring or docketing process. A target date for collecting documents is not a court or limitation deadline, and nothing in these snippets calculates either.

Keep fee reminders factual: the invoice, the amount and the due date as recorded. Mention interest, a pause in work or withdrawal only if the engagement terms provide for it and the responsible lawyer has approved the wording.

The confidentiality snippet is a placeholder, not a notice. Whether your emails carry a notice, and what it says, is your firm’s decision. A notice does not undo an email sent to the wrong person, so check the recipient and attachments before sending.

Keep client details out of reusable snippets

The worst case is a message that still carries another client’s name, matter number or fee from the last time it was used. Keep every client-specific value in brackets in the library and type it fresh into each draft.

Text Replacements has no account or cloud sync. The library is saved on your PC. An exported CSV or JSON file is an ordinary file: store and share it under your firm’s rules, and keep real matter numbers out of any library you pass to colleagues.

For a team set, agree on one person who maintains the approved wording and sends out new copies. The shortcut naming guide explains how a fixed prefix such as ;law- keeps shortcuts from expanding in ordinary typing.

Test in the system where you draft

Try one harmless shortcut in each place you write client correspondence: your email client, your word processor and your practice or document management system. Use an unsent draft or a test document.

In Chrome and Edge, press Space to expand a shortcut. Tab and Enter do not trigger expansion in web pages, which matters if your document management or billing system runs in a browser.

Text Replacements has not been tested in Citrix, Remote Desktop or other virtual desktops. If your firm’s software runs in one, try a shortcut inside that window before importing the full library. If it does not expand there, keep the approved wording in a document you copy from. Text expansion not working in one app covers other causes.

Frequently asked questions

Is the confidentiality notice in the CSV ready to use?
No. It is a bracketed placeholder with an example structure. Replace it with the notice your firm has approved, or delete it if your firm does not use one.
Does the snippet library leave my PC?
No. Text Replacements has no account or cloud sync, and the library is saved on your PC. Files you export are ordinary files that you store and share yourself.
Will it work in our document management system or Citrix?
Test it first. In Chrome and Edge, shortcuts expand when you press Space. Citrix, Remote Desktop and other virtual desktops have not been tested, so try one harmless shortcut in the exact window where you draft.
Will the shortcuts fill in client details or deadlines?
No. Bracketed fields are literal text that you replace by hand. The only automatic value is {date} in the file-note template, which inserts today’s date.

Insert the approved routine wording with a text shortcut, then check the client and matter details in the draft.
